Crew Scheduling Software FAQs

Q. What do I have to install in order to use OnShift?
A. Nothing. OnShift is a web-based application that we host for you. It is entirely online and supported by internet browsers such as Firefox and Internet Explorer.

Q. Can I access OnShift from anywhere?
A. Yes. OnShift understands that being able to access your crew schedule from anywhere is important. Because the software is entirely online, the platform can be accessed from work, home, or anywhere else you go.

Q. How much does OnShift cost?
A. OnShift is a hosted scheduling and communication application that is inexpensive to purchase, operate and maintain. There is no software or hardware to install and the system requires zero IT support staff to facilitate and manage. There are no communications fee associated with the texting, email, and telephone services. There is also no annual maintenance fees associated with the system.

The only fees associated with OnShift are a small one time system setup and training fee and a small monthly fee based on the number of staff managed by the scheduling application. That’s it. Nothing more.

The return on investment from OnShift is significant; 100% of every OnShift client pays for the system by the end of the second day of every month, generating tens of thousands of dollars in operational improvements and labor savings in reduced Overtime, Overages, and reliance on Outside Agencies.

Q. How long will OnShift startup take?
A. Your live OnShift system will take about 2-4 weeks to set up and launch.

Q. What is IVR?
A. IVR stands for Integrated Voice Response. IVR will convert a text message we have created to a voice message and place a phone call to the employee.

Q. How are call-offs better resolved with OnShift?
A. Simply mark “call-off” on the employee’s schedule entry within OnShift. The program will then find employees who are not already working that shift and who are qualified to take the shift. OnShift then sends a message to the qualified employees, outlining the details, date and location of the available shift.

Q. How OnShift scheduling notifications sent?
A. OnShift can send notifications using three methods. The messages can be delivered to any mobile carrier. The options include:
1) Text message
2) Automated phone call
3) Email

Q. How does OnShift determine which method to use to send the message?
A. Each employee has a OnShift profile, in which he or she may choose a preferred method of notification delivery.

Q. What if the employee has not selected a preferred method?
A. If the employee has not selected a preferred method of message delivery, OnShift will default to text message.

Q. How long does it take employees to receive a message once it’s been sent from the OnShift crew scheduling software platform?
A. Generally the messages are delivered within a minute or two. This time varies slightly, depending on the volume of the message and the employee’s mobile carrier.

Q. How can employees indicate interest or disinterest in automated voice notifications?
A. Much like a voicemail system, the automated voice notifications will give users keypad response options. For example, if the employee is interested in taking the shift, the automated message will prompt them to press “1″. If they are not interested, the message will prompt them to press “2″.

Q. Does OnShift track labor hours per patient day (HPPD) by job type?
A. OnShift tracks, calculates and displays the hours worked per patient in a given day. It will compare those hours to your budget, as well as state regulations and will display any disparities.
